Candidate Management

The candidate management system provides powerful tools to organize, evaluate, and track applicants throughout the assessment process. This guide covers the interface options, filtering capabilities, and candidate profile features available in the platform.

Candidate View Options

The assessment dashboard offers three distinct views to match your workflow preferences:

Large View (Kanban)

The default view presents candidate cards in a Kanban board layout, organized by status columns.

Features:

  • Visual pipeline representation
  • Drag-and-drop status management
  • Detailed candidate cards with key information
  • Ideal for teams that prefer a visual workflow

Compact View

A condensed version of the Kanban view that displays more candidates on screen simultaneously.

Features:

  • Smaller candidate cards with essential information
  • Drag-and-drop functionality preserved
  • More candidates visible without scrolling
  • Perfect for managing larger candidate pools

List View

A tabular format that emphasizes data and sortability over visual pipeline management.

Features:

  • Spreadsheet-like interface with sortable columns
  • Comprehensive candidate information in a structured format
  • Advanced sorting capabilities
  • Note: Drag-and-drop functionality is not available in this view

Switch between views based on your current task. Use Kanban views for pipeline management and List view for analytical comparison.

Search and Filter Functions

Locate specific candidates instantly:

  1. Use the search bar at the top of the assessment view
  2. Enter candidate name, email, or other identifying information
  3. Results update in real-time as you type

Bulk Selection

Select multiple candidates for batch operations:

  1. Click the "Select All" button to choose all visible candidates
  2. Alternatively, use checkboxes on individual candidate cards
  3. Perform actions like status updates or downloads on all selected candidates

Sorting Options

Arrange candidates according to different metrics:

  • Score: Sort by overall assessment performance
  • AI Score: Sort by artificial intelligence evaluation score
  • Name: Alphabetical arrangement by candidate name
  • Date Added: Chronological order based on when candidates were added

Advanced Filtering

Create targeted candidate lists using multiple parameters:

  1. Click the filter icon in the assessment view
  2. Apply filters based on:
    • Status: Filter by specific assessment stages
    • Score Range: Set minimum and maximum score thresholds
    • Creation Date: Filter by when candidates were added
    • Completion Date: Filter by when assessments were finished
    • Tests Taken: Filter by specific assessment components completed

Candidate Information Cards

Each candidate card in the Kanban views displays key information:

Standard Card Information

  • Profile Picture/Avatar: Visual identification
  • Name: Candidate's full name
  • Email Address: Contact information
  • AI Score: Artificial intelligence evaluation score
  • Average Score: Overall assessment performance
  • Invitation Date: When the candidate was invited
  • Resume Download: Button appears if resume is available

Card Quick Actions

Access frequent functions through the options menu (•••):

  • View Resume: Open the candidate's resume directly
  • Resend Invite: Send another invitation email
  • WhatsApp Reminder: Send a reminder via WhatsApp
  • Schedule Interview: Initiate the interview scheduling process
  • Reject Candidate: Mark the candidate as rejected

Detailed Candidate Profile

Click on any candidate card to access comprehensive information:

The quick-view modal includes:

  • Contact Information: Phone, email, location
  • Score Breakdown: Detailed performance metrics
  • Salary Expectations: Candidate's stated salary requirements
  • Resume Preview: In-line document viewer
  • Assessment Timeline: Key dates and milestones
  • Test Results: Performance across individual assessment components

Full Profile View

For the most comprehensive candidate analysis:

  1. Open the candidate modal
  2. Click the "VIEW FULL PROFILE" button
  3. Access the dedicated profile page with:
    • Complete assessment responses
    • Video interview recordings (if applicable)
    • Detailed competency breakdown
    • Notes and internal feedback
    • Communication history
    • Document repository

Data Export Options

Extract candidate information for offline analysis or integration with other systems:

  1. Click the "Download" button in the assessment view
  2. Configure export parameters:
    • Select desired candidates (all or filtered)
    • Choose export format (Excel, CSV, PDF)
    • Select data fields to include
  3. Generate and download the export file

Candidate Status Management

Status Categories

Candidates progress through various stages represented by status categories:

Status Updates

Change candidate status through:

  • Drag-and-Drop: Move cards between status columns in Kanban views
  • Status Menu: Select new status from the candidate card options menu
  • Batch Update: Change status for multiple selected candidates simultaneously

Best Practices

  • Regular Review: Schedule time to review and update candidate statuses
  • Clear Ownership: Assign team members responsible for different candidate groups
  • Consistent Communication: Establish standard timeframes for candidate updates
  • Data Hygiene: Regularly archive completed hiring processes to maintain dashboard clarity
